Job Title: Strategic Communications Assistant

We are a rapidly growing, women-owned, public opinion research and strategic communications agency that specializes in helping school districts, fire protection districts, municipalities, and other taxing entities connect with their communities. We provide public opinion research, community engagement, strategic communications, and referendum consulting to our clients. Our small team is dedicated to providing creative solutions and customer service to our clients around the country.
Job Overview:
We are seeking a highly organized and proactive Strategic Communications Assistant who is not afraid to problem solve and use new technology to support our team and the company. The ideal candidate will be a pivotal part of our operations, helping to manage schedules, organize projects, and ensure that our fast-paced team runs smoothly. This role is perfect for someone who thrives in a dynamic, fast-paced, environment and is looking to grow their career in the field of strategic communications and community engagement.
Responsibilities:
- Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and in some cases organizing travel arrangements.
- Prepare and edit communications, presentations, and other documents using Google Docs, Google Drive, and other online business, communications, and design tools.
- Provide basic bookkeeping support in QuickBooks, including inputting invoices, tracking bills and invoices, and other data entry.
- Assist with implementing social media and digital outreach efforts by scheduling drafts of social media posts and text messages developed by other team members.
- Assist with the management of projects and follow up with team members and clients where required.
- Act as the point of contact between the leadership team and internal/external clients.
- Facilitate efficient communication across the company, ensuring all team members are kept informed of important updates and deadlines.
- Maintain a high level of professionalism and confidentiality when handling sensitive information.
- Assist in the planning and execution of company events and meetings.
- Assist with company marketing as needed, including occasional website and social media updates.
- Contribute to the improvement of administrative processes and office management systems.
Qualifications:
- Bachelor’s degree in communications, business administration, marketing, or a related field is preferred but not required.
- Proven experience in a similar administrative or coordinator role is preferred.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills, with the ability to prioritize tasks.
- Proficiency in Google Docs and basic knowledge of QuickBooks is required. Basic knowledge of Adobe Creative Suite (specifically InDesign and Acrobat), Survey Monkey, Canva and Asana is preferred but not required. The candidate should be willing to learn the basics of all of these programs.
- Ability to work under pressure and meet tight deadlines.
- Ability to maintain a consistent attention to detail with high expectations for quality
- High level of discretion and professionalism, with the ability to maintain client confidentiality.
- Experience in a fast-paced agency or small business environment is preferred but not essential.
What We Offer:
Salary Range: $55,000 to $62,000 annually
Paid Time Off (PTO):
- 2 weeks (10 days) of PTO after the first six months of employment.
- An additional 2 weeks (10 days) per year is added after the first year of service, up to five weeks total.
- 12 paid holidays and the week between Christmas and New Year’s Day.
Work Environment:
- Flexible work schedule with the option to work remotely.
- Up to one day per week in the office located in the Cortex District of St. Louis, near the Central West End required.
